The Google Business Profile checklist that moves the map pack

Your Google Business Profile often gets more views than your website. Most profiles are filled in once and forgotten. These are the settings and habits that actually affect where you appear on the map, in order of impact.

Google Business Profile: quick health check

  • Most specific primary category chosen
  • Business name matches signage, no keywords
  • Services and products listed with descriptions
  • New reviews every month, all replied to
  • Holiday and special hours set in advance

The quick answerCopy

Google ranks local results on relevance, distance and prominence. You cannot change distance, so the checklist focuses on the other two: choose the right primary category, use your real business name, complete every relevant field, keep hours accurate, earn steady reviews and reply to them, and keep the profile active with photos and updates.

  • Your primary category is the single most important setting on the profile. Choose the most specific one that fits.
  • Use your real-world business name. Adding keywords or city names breaks Google’s guidelines and risks suspension.
  • A steady flow of genuine reviews, with replies, matters more than a burst of reviews in one month.
  • Services, products, attributes and photos help Google match you to more specific searches.
  • Keep facts identical across your profile, website and directories so Google trusts them.
01

How does Google decide which businesses appear in the map pack?

Google says local results are based mainly on relevance, distance and prominence. Relevance is how well your profile matches the search, distance is how far you are from the searcher, and prominence is how well known and well reviewed you are.

Distance is fixed by where you are and where the searcher is, which is why a dentist in Arera Colony will not show for every “dentist near me” search across Bhopal. You can still influence how relevant and prominent Google thinks you are.

Relevance comes from your categories, services, description and the words customers use in reviews. Prominence comes from reviews, ratings, links and mentions across the web, and how well your website ranks. Every item on this checklist feeds one of those two.

02

Which Google Business Profile category should you choose?

Pick the most specific primary category that describes your main business, then add a few secondary categories for other genuine services. The primary category carries the most weight.

A clinic that does mainly orthodontics should choose “Orthodontist” over “Dentist” if that is what most patients come for. A restaurant that is known for biryani can choose a cuisine-specific category rather than the generic “Restaurant”.

Secondary categories help you appear for related searches, but only add ones that reflect what you actually offer. Look at the categories used by the businesses that already rank in your area for your main searches; that tells you what Google associates with those queries.

Categories also unlock features. Some show booking links, menus, product sections or specific attributes, so a category change can change what your profile is able to display.

03

What should your business name and address look like?

Exactly as customers see it in the real world: the name on your signage, invoices and website, and your real address or service area. Keyword stuffing the name is the most common reason profiles get suspended.

“Sharma Dental Clinic” is fine. “Sharma Dental Clinic – Best Dentist in Bhopal for Implants” breaks Google’s guidelines, invites competitors to suggest an edit, and can lead to suspension. It may help briefly; it is not worth the risk.

If you visit customers rather than having them come to you, such as plumbers, home tutors or pest control, set a service area and hide your address. Virtual offices and co-working addresses where you have no staffed presence are not eligible.

04

Which profile fields matter most after category and name?

Hours, services or products, description, attributes, photos and website link. Complete fields give Google more to match against and give customers fewer reasons to look elsewhere.

List each service with a short description in plain language. If you are a CA firm, add GST registration, income tax filing, company incorporation and audit as separate services rather than one vague “accounting services” entry.

Set special hours for Diwali, Eid, Christmas and other closures in advance. Customers who arrive to find you shut leave the kind of review that hurts, and in our experience wrong hours are among the most common complaints in local reviews.

Add a tracking parameter (UTM) to your website link so visits from the profile show as their own source in Google Analytics rather than blending into organic search.

  • Opening hours and special hours
  • Services or products with descriptions
  • Attributes such as accessibility and payment options
  • Booking or appointment link where relevant
  • Website link with UTM tracking
05

How do reviews affect your local ranking?

Review count, rating, recency and your replies all feed prominence. A steady flow of new, genuine reviews helps more than a large batch followed by silence.

Ask every satisfied customer, at the moment they are happiest: after a successful treatment, a delivery or a finished job. A short link or QR code from the profile makes it easy. Send the request by WhatsApp or SMS if that is how you already talk to customers.

Do not offer discounts or gifts for reviews, and do not ask only happy customers while steering unhappy ones elsewhere. Both break Google’s policies. Reply to every review, briefly and specifically, including negative ones; future customers read the replies.

06

Do photos and posts help you rank?

Photos and updates mainly help customers choose you, which is valuable in itself. They also signal that the business is active and the information is current.

Upload real photos of your premises, team, work and products regularly, and replace stock images. Customers compare photos between the three businesses in the map pack before calling anyone.

Updates (posts) are a simple way to announce offers, events and new services. Their direct ranking effect is debated, but a profile that is clearly maintained converts more of the views it already gets.

07

How do you audit your Google Business Profile in 30 minutes?

  1. 1Search for your business and your main serviceNote where you appear in the map pack for your top two or three searches, from your location and from a customer’s area.
  2. 2Check category and nameCompare your primary category with the businesses ranking above you. Remove any keywords from the business name.
  3. 3Fill every relevant fieldComplete hours, special hours, services, products, attributes, description and booking link. Add a UTM to the website link.
  4. 4Match your facts everywhereMake the name, address, phone and hours identical on your website, Google profile, Justdial, IndiaMART or other directories you use.
  5. 5Set up a review routineCreate a review link, decide who sends it and when, and block 10 minutes a week to reply to new reviews.
  6. 6Add fresh photos and an updateUpload current photos of the premises and work, and post one update about a service or offer.
08

What are the common mistakes?

01Keywords in the business name

It breaks the guidelines and can get the profile suspended. Rename to your real name and put keywords in services and description.

02Wrong or missing special hours

Customers who find you closed leave angry reviews. Set holiday hours in advance for every festival and closure.

03Buying or incentivising reviews

Google removes reviews it detects as fake or rewarded and may restrict the profile. Ask genuine customers, consistently.

04Duplicate listings

Two profiles for one location split reviews and confuse Google. Find duplicates and ask Google support to merge or remove them.

09

Questions people ask

How long does it take to rank in the Google map pack?

It depends on competition and on how far your profile and website are from those already ranking. Fixing categories and missing fields can show changes within weeks; building reviews and prominence is a months-long effort.

Can I rank in areas where I don’t have an office?

Only to a limited extent. Distance is a core factor, so a business rarely appears in the map pack far from its location. Service-area settings help define where you work but do not override distance. Location pages on your website can still rank in normal results.

Should I respond to every review?

Yes. Short, specific replies to positive reviews show you value customers, and calm, factual replies to negative ones show future customers how you handle problems. Never share private customer details in a reply.

Why was my Google Business Profile suspended?

Common reasons are keywords in the name, an ineligible address such as a virtual office, duplicate listings or sudden changes to key details. Fix the cause, then follow Google’s reinstatement process in the profile help centre.

Does my website affect my map pack ranking?

Yes. Google says your position in normal web results contributes to prominence. A website with clear service pages, your address and consistent business details supports the profile.
