“Best tool for purchase approvals?” Three names. Not yours.
Your product handles the process better than the spreadsheet it replaces, and teams that adopt it stay. But the ops lead who needs it asked an assistant for a shortlist, read two comparison pages and booked demos with the tools that were named. This playbook shows where that evaluation starts — and how to be in it.
The short versionWorkflow and ops software usually loses deals before the demo: the AI shortlist names tools with clear “best tool for” pages for one process, pricing per seat or per workflow is left vague, and demo requests wait days for a reply. Process pages, honest pricing logic and fast demo and trial follow-up fix it — not more ad spend.

Why good software still misses the shortlist
Buyers don't evaluate platforms. They evaluate one process.
Nobody in operations wakes up wanting a workflow platform. They want purchase approvals out of email, or onboarding out of a spreadsheet. So they ask an assistant for the best tool for that one process, read whichever comparison pages it cites, check the price per seat and start two or three trials. A product described as a flexible platform, with no page for the process and no pricing, is usually filtered out before anyone sees a demo.

Why doesn't AI recommend our workflow software?
Evaluation now often starts with a question to an AI assistant: “best tool for purchase approvals for a 200-person company”. The assistant names three or four tools and cites the comparison pages and review sites behind them. A product with one platform page and no process content gives it nothing to quote.

Should workflow software publish its pricing?
Ops buyers have to justify cost to finance before a trial goes anywhere. They want to know whether you charge per seat, per workflow or per run, where the tiers sit and what happens as usage grows. “Contact sales” tells them it's expensive, and the trial goes to the tool that published its logic — the logic assistants quote.

Why do our demo requests go cold?
A demo request is usually one of three sent that week. The tool that replies with a calendar link the same day sets the evaluation criteria; the one that replies on Thursday is fitting into someone else's process. Forms, chat and trial sign-ups need routing and a named owner.

Questions workflow software teams ask
Straight answers, no sales script.
Straight answers. If yours isn't here, a 30-minute call is the fastest route — no pitch, no deck.
Should we publish pricing if every deal is negotiated?
You can publish the logic without every number. Say what you charge by — seat, workflow or run — give starting tiers and explain what makes cost grow. Buyers need enough to get budget approved; without it, the trial usually goes to a tool that gave them that.
Is it risky to publish comparison pages against bigger competitors?
Not if they are fair. Compare on facts you can support, say plainly where the other tool is the better fit and keep the page current. One-sided pages tend to be ignored by buyers and by AI assistants, which prefer sources that read as balanced.
We are a platform. Why build pages for single processes?
Because buyers search for one process at a time. The platform page can stay; the process pages are how people with a specific problem find you. Each one shows the workflow, the integrations it needs and the kind of team it suits.
How do you measure whether AI assistants recommend us?
We run a fixed set of around 50 buying prompts across five engines, record whether you are named, in what position and which sources are cited, then repeat it each sprint. It is a sample, not a census, but it shows the direction clearly.
How long before this shows in the pipeline?
Demo routing and trial follow-up can show within weeks because they fix leaks in existing demand. Appearing in AI shortlists and comparison searches usually takes a few months and depends on the category. We don't guarantee rankings or mentions.
We are product-led with a free plan. Does this still apply?
Yes, the leak just moves. Instead of demo requests waiting, it's sign-ups that never build a first workflow. The process pages and shortlist work are the same; the follow-up becomes in-product and email onboarding.
Does LinkedIn matter for workflow and ops software?
Yes — it's where operations and finance leads ask peers which tool handles a process and check who builds it. Post walkthroughs of one process at a time, fair comparisons and templates people can use today. YouTube carries the longer walkthroughs; LinkedIn gets them in front of the people who build the shortlist.
Do we get a free website for our company?
Yes. Every monthly plan includes a free 5-page website for your company — fast, AI-readable and yours to keep. It goes live within 48 hours once your plan is active and the launch checklist is done. Your domain, hosting and any paid tools sit outside the offer and stay in your name; online shops and booking systems are quoted separately. What's included
