WhatsApp lead response: reply in minutes without burning out
A lead who messages you on WhatsApp is usually messaging two competitors as well. Winning is less about working longer hours and more about a setup that makes the first useful reply fast and easy.

The quick answerCopy
Use the WhatsApp Business app’s greeting and away messages, quick replies and labels while one or two people handle enquiries. Move to the WhatsApp Business Platform with a shared inbox, routing and an automated qualifying first message once several people reply. Aim for a human reply within minutes during business hours.
The first useful reply usually wins — not the first reply, and not the longest one.
The free Business app is enough for one or two people; a shared inbox on the Platform is for teams.
An automated first message should set expectations and ask one or two qualifying questions.
Give every chat an owner, a status and a deadline, so nothing sits unanswered overnight.
On the Platform, free-form replies are allowed only inside the 24-hour window; after that you need an approved template.
01
Why does reply speed matter so much for WhatsApp leads?
Someone who messages you on WhatsApp is usually comparing two or three businesses at once and will go with whoever replies usefully first. A reply in five minutes catches them mid-decision; a reply next morning often reaches someone who has already booked elsewhere.
WhatsApp feels like a conversation, so customers expect conversational speed. They do not expect an email-style reply tomorrow. And because sending the same question to three businesses takes seconds, your real competition is whoever else they messaged in the same minute.
Speed alone is not enough, though. “Hi, how can I help?” sent instantly is not useful — they already told you how. A useful reply answers the question asked, or asks the one thing you need to know to answer it, and gives a clear next step. Build the whole system around getting that kind of reply out quickly.
02
Should you use the WhatsApp Business app or the Business Platform?
The free app suits one or two people answering from their phones. Move to the WhatsApp Business Platform — the API, usually through a provider — when several people share the inbox, you need routing and reporting, or you want leads to flow into your CRM automatically.
The app does a lot for free: a business profile, catalogue, greeting message, away message, quick replies and labels, and it can be linked to a few extra devices so more than one person can reply. Its limit is coordination. Everyone sees one shared chat list, there is no assignment, and it is easy for two people to answer the same customer — or for both to assume the other did.
The Platform adds a proper team inbox through a provider of your choice: chats assigned to people, response-time reports, chatbots for the first step, and integration with your CRM or booking system. It costs more — provider fees plus Meta’s per-message charges for templates — so make the switch when missed or doubled-up chats are costing you real business.
03
What should the first automated reply say?
Acknowledge the message, set an honest expectation for when a person will reply, and ask one or two qualifying questions — what they need, where and when. A good first message turns waiting time into qualifying time.
An example for a physiotherapy clinic: “Thanks for messaging [Clinic]. A physiotherapist will reply within 15 minutes during clinic hours (9 am–8 pm). To help us, please tell us: what is the problem, and which branch suits you — Arera Colony or MP Nagar?” By the time a person picks up the chat, they know what to answer.
Keep it short, and never pretend the automated message is a human. If you use a chatbot with buttons on the Platform, offer three or four clear options and always include a way to reach a person. Customers abandon bots that trap them in menus.

What is WhatsApp’s 24-hour customer service window?
On the Business Platform, each customer message opens a 24-hour window in which you can reply freely. Once it closes, you can only send a pre-approved template message. Plan follow-ups so your team replies — and asks the next question — inside that window.
This rule shapes good lead handling. If a customer asks for a quote on Monday afternoon and your team replies on Wednesday, the window has closed and you must use a template — which is more formal, needs approval in advance and is charged by Meta. Replying the same day keeps the conversation natural and, under Meta’s current pricing, free-form service replies inside the window are not charged.
Conversations that start from Click-to-WhatsApp ads or a Facebook Page call-to-action currently get a longer free window. Meta changes WhatsApp pricing and template rules from time to time, so check its current pricing page before you budget. The WhatsApp Business app does not use these windows in the same way, but the habit of replying the same day is just as important there.
05
How do you share WhatsApp leads across a team without missing any?
Give every chat an owner, a status and a deadline. In the app, use labels such as New, Quoted, Booked and Lost with a twice-daily check of unlabelled chats; on the Platform, auto-assign chats by service or round robin, with an alert if nobody replies within your target time.
Missed leads are almost always an ownership problem, not an effort problem. When everyone can see the chat, everyone assumes someone else has it. One rule fixes most of it: the person who first replies owns the chat until it is booked or lost, and labels it every time they touch it.
Set a target reply time your team can actually meet — for example, 15 minutes during business hours — and review missed targets weekly without blame. Look for patterns: a busy hour with nobody assigned, a question that always needs the owner’s approval, a price that should be a quick reply.
New — not yet replied
In conversation — owner named
Quoted — follow up within 24 hours
Booked — confirmation and reminder sent
Lost — reason noted
06
What should happen to leads that arrive after hours?
An away message should say when you will reply and offer something useful now — a price list, booking link or catalogue. Then the first job each morning is clearing overnight chats, oldest first, before anything else.
Many enquiries arrive in the evening, when people finally have time to look. An away message such as “We’re closed now and will reply by 10 am. Meanwhile, here are our packages and prices: [link]” keeps them warm and often answers enough to move them forward on their own.
Protect the team’s evenings by design rather than by hoping nobody checks. If after-hours replies genuinely win business — for a 24-hour service, say — make it a paid rota with a clear handover, not something the owner does from bed.
07
How do you set up WhatsApp Business for fast lead response?
1Complete the business profileAdd your description, address, hours, website and catalogue so customers can answer simple questions themselves.
2Write the greeting and away messagesSet expectations for reply time and ask one or two qualifying questions. Share a useful link in the away message.
3Save your top ten answers as quick repliesPrices, location, timings, documents needed, payment options. Personalise the first line every time you use one.
4Create labels for each stageSet up New, In conversation, Quoted, Booked and Lost, and agree that every chat gets a label when touched.
5Agree ownership and a target reply timeThe first responder owns the chat. Set a realistic target, such as 15 minutes in business hours, and review it weekly.
6Review whether to move to the PlatformIf chats are missed or answered twice, or you need CRM integration, compare Business Platform providers.
08
What are the common mistakes?
01Messaging leads who never opted in
Business-initiated WhatsApp messages need the person’s opt-in. Messaging scraped or bought numbers risks your number being restricted.
02Bots with no way out
A menu that never reaches a person loses customers. Always offer a clear “talk to a person” option.
03Personal phones as the business line
When the staff member leaves, the chats and customers leave too. Keep enquiries on a business-owned number and account.

Questions people ask
Can I use the same number for the WhatsApp app and the Business Platform?
Historically a number had to be moved from the app to the Platform, and Meta has since introduced options for using both in some cases. Availability depends on your provider and country, so confirm with your chosen provider before migrating your main number.
Can I message people who filled in a form on my website?
Only if they opted in to receive WhatsApp messages from you — for example, a clearly worded tick box on the form. Without opt-in, call or email instead. Opt-in requirements are part of WhatsApp’s Business Policy and are enforced.
Do I need a chatbot?
Not to start. A good greeting message and quick replies handle most early needs. A chatbot helps when volume is high and many questions are repetitive, such as prices or slot availability, as long as it hands over to a person quickly.
How much does the WhatsApp Business Platform cost?
There are two parts: your provider’s fee for the inbox or software, and Meta’s charges for template messages, which vary by country and message category. Meta changed its pricing model in 2025 and adjusts rates periodically, so check its current pricing page.
What if a customer goes quiet after we send a quote?
Follow up once within a day while the conversation is still open, with a specific question such as “Would Saturday morning work for the first session?” If there is no reply, mark the chat as quoted and follow up again later only if they opted in.
