Tour operators · See it as a traveller does

The itinerary was planned in March. Your tour wasn't in it.

Your guides are good and past travellers rate the trips highly. But people now sketch an itinerary weeks ahead, with an assistant and a tour marketplace open side by side, and by the time they search to book, the shortlist is set. This playbook shows where your tours drop out of the plan — and what gets them back in.

The short versionMost tour operators lose bookings before anyone searches to book: trips are planned weeks earlier with AI assistants and tour marketplaces, and an operator whose day-by-day route, group size and inclusions aren't written out in detail isn't in the plan. Clear inclusions next to the price, and quick answers to date questions, win back the rest.

Why a good tour still loses the booking

Travellers don't book a tour. They book the plan it fits.

Nobody starts by searching “book a tour”. They ask an assistant to sketch ten days, read a few marketplace listings, and build a plan around the tours that fit the route, the pace and the dates. By the time they search to book, the decision is mostly made. A tour whose itinerary, group size and inclusions live only in a PDF or a short marketplace listing rarely makes it into that plan, however good the guides are.

Why don't travellers find our tours before they book?

Travellers shape the trip weeks ahead, with an assistant and a tour marketplace side by side. The marketplace ranks on reviews and sponsored placement; the assistant recommends tours it can describe. A tour that exists as a brochure PDF and a short listing loses to one with each day, each night and the group size written out.

The price that doesn't say what it covers

what's included in a 7-day tour price

Should a tour operator list what the price includes?

Travellers compare tours line by line: nights, meals, entry fees, transfers, single supplement. A “from” price with no list of inclusions looks cheaper or dearer than it is, and either way it loses to the operator who spelled it out. Inclusions next to the price are also the answer assistants quote.

The dates question that waits for Monday

Hi! Let me check and come back to you.Mon · 10:15 am
Thanks, we've booked a similar tour.Mon · 11:02 am

Why do tour enquiries go cold?

Pre-booking questions arrive in the evenings and at weekends: is there space on the 14th, can we join a day late, is there a single room. An answer after the weekend usually finds the group already booked with someone who replied from a phone. One queue with departure availability visible fixes most of it.

What we'd do about it

Five moves, in the order that pays.

Fix the leaks first, then grow. Scaling a funnel that loses enquiries just spends more to lose more.

Drop the OTAs?PDFs a problem?Show prices?
Should we stay on tour marketplaces?

Usually yes, at least for discovery: they reach travellers who haven't heard of you. The aim is to stop paying commission on people who were already looking for you, and to make sure your own page answers more than the listing does.

How do AI assistants choose which tours to recommend?

They draw on what's published: your pages, marketplace listings, reviews and articles that mention you. A tour with its route, nights, group size and season clearly written out is easier to recommend by name. We don't guarantee mentions.

Our itineraries are in PDFs. Is that a problem?

For people who have already found you, a PDF works. For search engines and assistants it is much harder to read and quote. The same content as a proper page per tour, with the PDF as a download, usually serves both.

Should we publish prices if they change by season?

Yes. A price per person by season or departure, with what it includes, answers the comparison question. Leaving it out tends to push people towards an operator who didn't.

Resellers sell our tour for more than we do. What can we do?

Check what your agreements with them allow, then make sure your own page and brand ads appear first on your tour names. Many travellers book direct once the official page is clearly the original.

How long before bookings change?

Reply-time and brand-search fixes can show within weeks. Tour pages and planning content take a few months to be picked up, and seasonality means the effect often shows in the next booking window. We don't guarantee rankings or bookings.

Which social platforms matter most for a tour operator?

Instagram, YouTube and Facebook, with WhatsApp for questions. Travellers save tour reels while planning, watch full tour films before deciding, and check past-traveller groups and reviews on Facebook. Link every post to your own tour page, so a traveller who planned around your video books with you, not a reseller.

Do we get a free website for our company?

Yes. Every monthly plan includes a free 5-page website for your company — fast, AI-readable and yours to keep. It goes live within 48 hours once your plan is active and the launch checklist is done. Your domain, hosting and any paid tools sit outside the offer and stay in your name; online shops and booking systems are quoted separately. What's included
