Conferences · See it as a delegate does

Last year's page still ranks. This year's starts from zero.

Your programme is strong and the people who come tend to return. Yet every year the new edition's site starts again from nothing, early-bird sales feel slower than they should, and an assistant names a rival when someone asks which event to attend. This playbook shows where those delegates go.

The short versionMost conferences lose delegates because each edition launches on a new page or domain with no authority, pass tiers and inclusions are hard to compare, and group or invoice questions wait days for a reply. A permanent event hub, structured event data and fast handling of team bookings fix this before any extra ad spend.

Why a strong programme still loses the delegate

Delegates don't compare agendas. They compare certainty.

Most delegates can't judge a programme months in advance, and their manager won't try. They ask an assistant or search for events in their field, check the dates and city, look for who else is going, work out what the pass costs and whether a team rate applies, then send the link for approval. A page that is new this year, vague on price or slow to answer an invoice question loses that approval before anyone reads the speaker list.

Why don't AI assistants recommend our conference?

When someone asks an assistant which conference to attend, it names events it can describe confidently: stable pages, consistent dates and city, a clear audience, past editions with sessions and coverage. An event whose site resets every year gives it little to go on, so a rival with a long-running hub gets named instead.

The pass price nobody can compare

Should a conference show ticket prices before checkout?

Delegates and the managers who approve them want the same things: what each pass includes, what it costs now, when the price rises, and whether a team rate applies. Hiding that behind a checkout or a “contact us for groups” line slows approval. A plain tier table with dates is also the answer assistants repeat.

Why do conference group enquiries go cold?

Group and invoice enquiries are often the most valuable sale a conference makes, and they usually arrive by email to a generic address. If a manager's request for a quote or purchase order waits days, the budget goes to another event or the approval window closes. These need an owner and a same-day reply.

What we'd do about it

Five moves, in the order that pays.

Fix the leaks first, then grow. Scaling a funnel that loses enquiries just spends more to lose more.

Social presence · where delegates check you

They see who's speaking on LinkedIn before they ask for budget.

Delegates decide whether a conference is worth the pass from speakers, past sessions and who else is going. Six things decide whether that becomes a registration.

New site yearly?AI recommends?Show prices?
Should every edition get its own website?

Usually not. A new domain or URL each year throws away the links and search history the last one earned. Keep one permanent hub, put each edition beneath it and redirect old edition pages to it.

How do we get AI assistants to recommend our conference?

We can't promise it. What helps is consistent, quotable facts: dates, city, audience, past speakers, pass prices, structured event data, and coverage on sites assistants read. We track whether you're named for the questions delegates actually ask.

Should we publish ticket prices before checkout?

Yes. Delegates often need sign-off, and the approver wants to see the price, what's included and when it rises. A tier table with deadlines reduces back-and-forth and gives assistants a clear answer to repeat.

When should a conference run paid ads?

Mostly around moments that change urgency: on-sale, speaker announcements, tier deadlines and the final weeks. Flat year-round spend tends to buy clicks in months when nobody is ready to buy.

What should happen to the site between editions?

Keep it working. Session recordings, slides, speaker interviews and the call for papers give people a reason to visit and link between events, so the next launch starts from a stronger position.

How long before we notice a difference?

Reply-time and pass-table fixes can show in the next sales window. Authority on a permanent hub builds across editions, usually starting to show within a few months of consolidating. We don't guarantee rankings or registrations.

Which social platforms matter most for a conference?

LinkedIn first, with YouTube close behind. Delegates check speakers and who's attending on LinkedIn, and recordings of past sessions show whether the content is worth the pass. Ask speakers and sponsors to post too, since their networks are your audience. X and Instagram carry the live days; keep posting between editions.

Do we get a free website for our conference?

Yes. Every monthly plan includes a free 5-page website for your conference — fast, AI-readable and yours to keep. It goes live within 48 hours once your plan is active and the launch checklist is done. Your domain, hosting and any paid tools sit outside the offer and stay in your name; online shops and booking systems are quoted separately. What's included
