Venue operators · See it as an organiser does

They searched “venue for 200”. Your site says “flexible spaces”.

Your spaces work and organisers who use them come back. Yet midweek dates sit empty, enquiries arrive through venue-finding sites that take a cut, and organisers searching for a room of a certain size and layout find someone else. This playbook shows how organisers actually search — and where you drop off their list.

The short versionMost event venues lose bookings because organisers search by capacity, layout and event type while the website has one “spaces” page, hire costs and minimum spend go unexplained, and date enquiries wait a day or more. Pages per room, layout and event type, clear price guidance and same-day date replies fix this first.

Why a good venue still loses the booking

Organisers don't browse venues. They filter them.

An organiser arrives with a brief: a date, a headcount, a layout and a type of event. They search the map and venue-finding sites with those words, filter out anything that doesn't state capacity for their layout, glance at the price guidance and message three or four that fit. Whoever confirms availability first, with a rough cost, usually gets the site visit. A venue with one “spaces” page and a next-day reply is filtered out before anyone sees the room.

Why don't event organisers find our venue on Google Maps?

Organisers search by size, layout and event type — “venue for 200 cabaret”, “conference room for 50”, “party venue with private bar”. A map profile and site that only say “flexible event spaces” give search and assistants nothing to match, so a venue that listed each room, capacity and event type wins the click.

The hire cost nobody explains

Should an event venue publish its hire prices?

Organisers need to know early whether a venue fits the budget: room hire or minimum spend, day-delegate rates, what's included in catering and AV, and how peak and off-peak dates differ. “Contact us for a quote” slows that check and often ends it. Clear ranges by event type and day are what organisers and assistants look for.

Why do event venue enquiries go cold?

Organisers usually check availability at several venues at once and visit the first that confirms. Enquiries spread across a web form, phone, email and venue-finding sites, with no single owner, often wait until the next morning. A same-day reply with availability, a rough cost and a site-visit time keeps you on the list.

Publish prices?Venue finders?Empty midweek?
Should a venue publish its hire prices?

Give organisers enough to check fit: room hire or minimum spend ranges, day-delegate rates, what's included, and how peak and off-peak dates differ. Exact quotes can still follow the enquiry.

Are venue-finding sites worth the commission?

Some are. Judge each on bookings, not leads, and build direct demand alongside them with capacity and event-type pages, so you aren't paying commission on organisers who would have found you anyway.

Do we really need a page for every room?

If organisers search by size and layout, yes. Each space with capacities by layout, a floor plan and photos of real setups matches those searches far better than one “spaces” page.

How do we fill midweek dates?

Target the event types that book midweek — conferences, training, away days, launches — with pages and paid search for those terms, and make day-delegate pricing clear.

We host weddings too. Do they need separate pages?

Yes. Couples and corporate organisers search differently and ask different questions. Separate journeys with their own pricing, photos and enquiry forms work better than one page for both.

How long before we notice a difference?

Reply-time and pricing fixes can show within weeks. Map and search visibility for capacity and event-type searches usually builds over a few months. We don't guarantee rankings or bookings.

Which social platforms matter most for an event venue?

Instagram and your Google Business Profile, with LinkedIn for corporate bookings. Organisers look at real set-ups and layouts on Instagram, check location and reviews on the map, and corporate PAs and agencies find you through LinkedIn. Name the room, layout and capacity on every post so each one answers the brief.

Do we get a free website for our venue?

Yes. Every monthly plan includes a free 5-page website for your venue — fast, AI-readable and yours to keep. It goes live within 48 hours once your plan is active and the launch checklist is done. Your domain, hosting and any paid tools sit outside the offer and stay in your name; online shops and booking systems are quoted separately. What's included
