Procurement searched your lane. Your site just says “worldwide”.
Your ops team knows the lanes, the carriers and the cut-offs, and shippers who use you stay for years. Yet new accounts go to forwarders with half your experience, because the buyer's shortlist was built from search and an assistant before anyone picked up the phone. This playbook shows what that shortlist screens on.
The short versionMost freight forwarders miss shortlists because their site has no page for the lanes, modes and cargo types a buyer screens on, gives no sense of how a rate is built, and answers a spot or RFQ request too slowly. Lane pages, a plain rate explainer and a quote process with an owner fix this, not more tender portals.

Why a capable forwarder still misses the shortlist
Buyers don't compare forwarders. They compare lanes.
A logistics or procurement manager rarely searches for “a freight forwarder”. They search for a lane, a mode and a cargo type, and increasingly ask an assistant to name a few. The shortlist is built from whoever states that capability plainly, with transit ranges, frequencies and the compliance detail they screen on. When the RFQ goes out it goes to three or four names. A forwarder with one generic services page was never one of them.

Why don't shippers find our forwarding firm when they search their lane?
Buyers ask for a lane and a mode: “FCL Asia to Northern Europe”, “air freight for pharma”, “weekly LCL consolidation”. A site with one “sea, air, road” page gives search and assistants nothing to match, so a smaller forwarder with a page per lane gets the RFQ.

Should a freight forwarder explain its rates online?
Rates move weekly, so most forwarders write “contact us for a quote” and stop. Buyers read that as slow. A page explaining what drives a rate (mode, volume, incoterms, surcharges, validity), what a quote includes and how quickly it arrives is what gets you onto the list, and it's the answer assistants quote.

Why do our freight quote requests go cold?
A spot request sent on a Thursday afternoon usually goes to three forwarders at once, and the first credible reply sets the benchmark the others are judged against. Forms, emails and portal invites landing in different inboxes with no owner is how a two-day reply happens.

Questions freight forwarders ask
Straight answers, no sales script.
Straight answers. If yours isn't here, a 30-minute call is the fastest route — no pitch, no deck.
Should a freight forwarder publish rates when they change every week?
Not fixed rates. Publish how a rate is built (mode, volume, incoterms, surcharges, validity), what a quote includes and how quickly you send one. That is what buyers and assistants look for, and it stays true when the market moves.
We get most of our work through tender portals. Why bother with search?
Portals reduce you to a rate against someone else's brief. Buyers who search their lane or ask an assistant are shortlisting earlier, while capability and service still count. The two run side by side; a direct pipeline just means the portal is no longer the only door.
How many lane pages do we actually need?
One for each lane you genuinely run with regular frequency, and no more. Thin pages for lanes you rarely touch do more harm than good. We usually start with the lanes that earn the most margin and build out from there.
Do buyers really ask AI assistants to recommend a forwarder?
Some do, especially when shortlisting for a new lane or sector. Assistants answer from pages they can read and cite, so plain lane, mode and capability pages help. We track which questions name you; we can't guarantee that they will.
How long before a forwarder notices a difference?
Quote-handling fixes can show within weeks because they stop losing requests you already receive. Lane pages usually take a few months to be found and cited, depending on how competitive the lane is. We don't guarantee rankings or RFQs.
Do you work alongside our sales team and network partners?
Yes. Your sales team and network partners keep their relationships. We make sure buyers who research before calling find your lanes, understand your quote and get a fast reply, then hand the conversation to your people.
Which social platforms matter most for a freight forwarder?
LinkedIn first: procurement and logistics managers check your company page and your ops people before sending an RFQ, and lane posts get forwarded inside their team. WhatsApp is where spot-rate questions arrive, so answer with an RFQ link. YouTube suits lane and process explainers. Post only lanes you actually run and documents you actually handle.
Do we get a free website for our firm?
Yes. Every monthly plan includes a free 5-page website for your firm — fast, AI-readable and yours to keep. It goes live within 48 hours once your plan is active and the launch checklist is done. Your domain, hosting and any paid tools sit outside the offer and stay in your name; online shops and booking systems are quoted separately. What's included
